Andrey, can you please add an option to show closed places only? Perhaps right clicking on the checkbox could give this option or just have a 3rd 'greyed out' status on the checkbox..?
This would be a big help and would really save me a lot of time!

Description a way to input an individual task's progress when it is not completed (either using %, or time spent). I find the total progress of a project displayed now is not accurate when a big task is taken as all-or-nothing in the big picture of the project. But if I could say that the big task is 40% complete, and have that reflected in the total project status, it would reflect reality more. Oddly, I haven't seen that in the requested features list.

One task I find myself doing frequently in MLO is setting the Advanced Recurrence Options to the same settings. I almost never vary - reset all on complete, complete when all subtasks are done, and do not make copies. Would be nice to have that as the default so I don't have to remember to bring up the screen every time. Any takers?

For instance, it would enable you to create VBA code in Outlook to both flag messages and automatically have a tracking task created in MLO. To do this today, you have to use UI automation scripts to poke keystrokes into the Rapid Task dialog which while it works, is less than ideal.
I think that having even the most basic interface with just one simple method, something like CreateTask(string name, string notes) that always added a new task to the <inbox> would be a leap above trying to make things work with UI automation.
With this one simple automation method and a little Outlook VBA code you could write a VB macro that you could bind to the Outlook toolbar to flag the selected Outlook messages, create a new task in MLO for each one, and add an outlook: style URL to the MLO task notes to link back to the message in Outlook.

This entire issue could be solved easily (to the user) by having an option for each task "Complete only after task" and a selector. It could even default to the task directly above the current one with that particular project. The other advantage to this is cross-project dependancies. Occasionally one project getting going is dependant on another passing a certain milestone. Sure, in strict GTD terms this is Someday/Maybe-able, but I like having them setup already if I know the framework to start.

Ok, the best I can tell this hasn't been covered before:
I'd like the ability for a task to change its context (Places in MLO) when it is dragged and dropped below another context. For example, when I have a task that us under my @Call that says "Call Mike to confirm meeting time", and I call mike but get his voicemail, I usually drag that task into my @Waiting for place. I have to then manually change the "Call Mike to confirm meeting time" task place to @Waiting for from @Call. This is annoying. I'd like the inheritence to be fluid as an option.

Their are two ways that this could done in the future.......
1) Have items with 'no place' inherit their parents place. This would likely need to be a user preference.
2) Create a new built in place called 'parent's place'
For the time being the best solution is right click task operaitons copy place.

I do not like this idea. You can reset places manually from <Local Menu>->Advanced->Replace Places in all subtasks --- Maybe this can happen while holding down a key? Say Control+Shift, for example, while dragging. ---

Description I would like an option (or maybe a toggle) to show the number of days due for tasks rather than the date for example show "65 days" rather than "05/09/05" or "-2 days" for overdue tasks. If greater than a year, perhaps something like "2 years 65 days". I feel this would allow easier and more inuitive tracking of timelines for projects. It may fill some of the void of not having a gantt chart, and allow a simple visual glance of timelines in both outline and todo views.
--- Could be a simple as a black number 65 for pending in 65 days and a red 2 for overdue todays. Not sure, would the the word "days" be need? For greater than a year it could just be 2.65 or 495 any how if you have stuff more than a year out in the tool you are a better planner than I :)

------ I think what is really needed to accommodate a lot people's features is a multi-column in todo, and allow Outlook-like sorting/grouping (drag columns, group by this column, etc). I noticed that the different views available in the outline should also be available in the to-do list. Don't get me wrong, I would love to have MLO sort the tasks automatically by importance (better algorithm), but the ideal solution would be so that score to be a column in the to-do on its own, that I can sort by it - but still be able to sort/group by anything else. Since these routine tasks are not necessarily daily, I think we need a more flexible solution, based on user-specified criteria.
My suggestion to solve this problem would be to have todo-list groupable and/or with some sort of advanced filter. This way, I could group by context and put all my routine tasks in a context ("routine") and the real tasks in another ("real-tasks").
Like this: If I could tell MLO:

Description I store all my completed items in Outlook for archival purposes. Under the current sync method, I have to turn off "Remove tasks from Outlook not visible in MLO To-Do list" to get the completed items to sync to outlook. But this gives me all the other "stuff" that I don't want in Outlook.
It would be nice to have a button that would allow the completed items to sync to Outlook but not the higher level items that are not visiable in the MLO To-Do list.

As I mentioned in my post, many MLO users need a portable To-Do list but do not use a PDA, either because they dont have one, or like me find a printed format works better for them. I believe PocketMod would admirably fill this gap. I also foresee several advantages to incorporating PocketMod print functionality into MLO versus enhancing the existing print functionality. I expect it would be much easier to implement this feature since it would allow you to leverage the efforts of other developers and incorporate their website as part of the education process.

Possible failures I envision: 1) destination file already exists (MLO should never overwrite an existing file during conversion), 2) file conversion error (bad input data, for example, if I made a mistake while merging changes), 3) write error (out of disk space, etc.).
As I think more about this, I wonder if MLO.EXE has the ability to return "ERRORLEVEL" to a batch file, since it's a GUI app (though maybe this could be forced if I invoke MLO.EXE from a batch file via "start /wait MLO.EXE"?). Update: a little Googling shows that this should be possible: http://www.elpros.si/CDCheck/Help/cmdline.html is an example of what I'd hope for from MLO.

Description The way I understand Effort in MLO (correct me if I am wrong) is what David Allen calls "Energy", is that right? Effort doesn't necessarily have to be physical effort, but mental/psychological as well. So, in other words, I may have a task in my todo list which could take only 5 minutes (say, a phone call) but which may require lots of mental/psychological energy because it is a very stressful phone call (what some people call a "cringe" task). On the other hand, I might have a task that takes 4 hours to do, but is easy, pleasant, and it doesn't require a lot of mental energy on my part.
I am only now starting to apply this part of MLO to my GTD implementation, and I am just beginning to realize how important and useful it is. The problem is, MLO currently does not allow you to filter the todo list based on effort (or energy available).
MLO currently provides filtering by time available. If I have available only, say, 20 minutes, I can tell MLO to show me only the tasks that I can do in that time frame. Wouldn't it make sense to have something similar for effort? If I am high on energy (because of the time of the day or my mood), wouldn't it make sense to be able to tell MLO to show me just those "cringe" tasks that require a lot of effort so that I can knock them off? Reversely, if I feel pretty tired and run-down, I may tell MLO to show me just tasks that don't require too much from me energy-wise.

It's been a long time that I want to use this variable to guide my decisions on what to do, but today the product doesn't seem to use the information at all. I was thinking about that today, how great it would be if we could have icons in the Outline. For example, there would be an icon for a project (if the task is a project), a different icon if it is a weekly goal, a different icon if it is a monthly goal etc. Also, for projects, the icon could be a little square (instead of a checkbox) that could be "filling" in color to indicate the percentage of completion.
One could argue that this would make the outline more crowded, but this could be made configurable in the options for those users who don't like it.
I just think the outline is too plain right now, and the use of icons could make it both more visually appealing and more functional.
If there is interest, I can think more about this, and come up with some more ideas on how it could be best implemented.

I want to start using the Time Required for tasks setting especially with the new functionality of being able to see how much time is available between appointments in Outlook. But at the moment I don't see a way to group a list of tasks and set the Min/Max Time for all of these tasks apart from manually.
Could we have an Advanced Option to set Min/Max Time for all subtasks inherited from the parent node? Similar to the Add Place to all Subtasks.
Is it possible that we could have an option that newly created tasks inherit the parent nodes, min/max time settings by default if the Min/Max time settings are set?
I personally tend to group tasks of a similar nature, being of a similar nature they will not only have the same Place/Context set but more often than not have the same min/max time settings as well. Being able to set the min/max on a whole group of tasks and then tweak the ones that need more/less time would be really good.

There is a tab for "included places", "notes", and "hours" ad a tab "include by place" tab, and move the included by list there; and give the ability to check mark in there as well as in "included places"
Why you ask?
Because after you build a complex places structure; it's much faster to add a new place if you can just tell the program which places that new place is included by.
Sorry I should have thought of that much earlier..... That's a "long" standing LB complaint that was never addressed.

Description Andrey, can we get a F# on seeing the todo and outline together? That is really near the top of my personal list.
A variation would be the ability to open multiple windows on the same file. So you can make changes in any windows and it's immediately reflected across the windows. This would support drag/drop between different parts of the outline for instance.

Different people will find useful different combinations of information. So why not make all the sections dockable and let the user choose the layout (in the same way Visual Studio.NET works). In the same way Visual Studio does, you can also dock windows over the others (generating tabs).

However personally I do not like much automation in such cases. Project is usually a "big thing" and I have to change things like Status manually after additional thought. Otherwise if you check-off a project accidentally you will not see it in the Projects View under "In progress" group because of this automation.

Description I use MLO as my daily task and project management tool. As I am in charge of coordinating activities with several offices around the world, I interact with people in all time zones, and I also travel a lot. It would be very helpful for me to be use the MLO function of "opening hours" for places. Unfortunately, I can't because I can not get MLO to understand that some places are open say from 9 to 5 UK time, which translates to something else depending on what time zone I am in, and other places are open say 9 to 5 in the time zone I am in, and will always be open 9 to 5 in my current time zone.
In other words, I would need to be able to set opening hours for places either in terms of <hours in time zone X> or in terms of <hours in Local Time>, Local Time being the current system time of the PC.
If it is not possible to manage both time references, one to a fixed time zone and one to local time, then it would be great to at least be able to fix times in terms of <time in time zone X>. For people who don't travel, this wouldn't change anything, and for me it would help a lot because most of my "places" are actually people or offices I talk to and therefore will be open at fixed times in their respective time zones.
Any chance of adding this functionality in the next version?

First chart= a desired split of activity between different areas (the areas being the top level tasks) Second graph = split of tasks completed between different areas. Tim Dec 7, 5:54 pm Oops, I must not have been very clear in my question. Tasks with Place (categories) sync nicely. However, MLO is much more powerful than that. It can assign tasks to quai-places based upon the Place(s) initially assign, e.g. "!0. Daily Preview/Review." You don't actually assign these places to tasks- MLO assigns them for you using the ever helpful feature- "included places." So, if my task is "Send card to Dad," and the place is "@Office" the task might appear in more than one location, e.g. @office and DailyReview. For me, this is one of the greatest MLO features.
These seem to be lost on syncing. I could certainly udnerstand why. I was looking for a solution.

Description currently renaming entries is not menu or right mouse-click supported. One has to aim and click at the name and start renaming. What I'd like to see is:

a menu option "rename" which will automatically jump the cursor into the name of the active entry while highlighting (mark) the complete entry. So one can just start writing to give this entry a new name without any more mouseclicks or keyboard actions to delete or mark the old name.

Today it can be done only by a quite complex "algorithm": - select the task on the To-Do tab - change to Outline tab - duplicate task - adjust changes on the new task (i.e. description and properties) - select the original task again - tick it as completed - change tab back to To-Do.
I'd suggest a right-click menu item, which would mark the original task completed, and insert a new task with the same properties with the description Re:Original Task Desription, and open this new task for editing.

My thinking was this, a properties option to set a follow-up or clone of a task once it has been completed. Once the task is marked as complete a little Dialogue box to popup "Create Follow-up/Clone Task" Yes/No buttons, perhaps even an option to carry over notes, or just do that by default. Create the task in the same position within the outline.
I think this type of functionality within MLO could be really useful, save the need for entering in another task once one has been complete or using copy/paste. Also if the Clone/Follow-up tasks inherits the details of the previous task. Save times updating.
I think it needs to be a toggle because you wouldn't want this on all tasks.
Would anybody else like to see this type of functionality?

I find that when I'm quickly entering tasks in MLO, I often forget to specify certain properties, such as "Time Required", "Task Effort", "Places", etc... This makes the application much less useful, as its scheduling capabilities are obviously diminished when the user has not provided the necessary information.
I would like to request that you add a branch in the "Options" screen where the user can specify which properties are "Required" for every task. Then, if a user tries to enter a task without including all the required properties, a warning dialog should popup, reminding the user to enter the missing information.
For certain tasks, you may not want to enter all the required properties, so the user should be permitted to ignore the warning and proceed without entering all the required properties.

------ I love the idea. Multiple times I forgot to fill in the Places edit box, and finding it, only much time later, the task lost in the <nowhere> place.
But it may not be that simple. Tasks created via Rapid Entry still wouldn't have these attributes, and when moving these tasks out of your Rapid Entry root should be blocked, or you should be prompted to enter all the required fields.
Despite these difficulties, I think this feature would be very valuable. Maybe an intermediate solution is to make the "required" fields be of another color, not making them really required, but only hinting that you should fill them.

Description I thought that the "remove tasks from Outlook not visible in MLO to-do list" option would follow what was actually visible in the MLO To-Do list window, but it seems to sync tasks that are visible by default - i.e. assuming the selected date is "Today".
If this is what's happening, is this by design or is it a bug?
Some background to help explain what I'm trying to do.
I have a mix of tasks: (t1) tasks with no date at all, (t2) tasks with start and / or due date (t3) items from the MLO outline that are explicitly hidden
I'm trying to create a view of my tasks on my Palm that allows me to see: t1 plus t2 for the next (eg) month. So if today is 24 February, I want to see all tasks which either have no date or which will start by, or be due before, 24 March.
In MLO itself, this is easy :-) Simply select 24 March in the To-Do list window. But what you select in the To-Do list window does NOT seem to be what syncs over to Outlook.
In Outlook it's possible, just a bit more difficult. I could sync all tasks (t1,t2 and t3) and then create a view filter. I sync the user-defined fields to Outlook so it's just: Start Date or Due Date in the next 30 days; and MLOHidden=No (I haven't tried this as I don't often view tasks in Outlook, but it should work.)
But on the Palm this seems to be impossible. The native Palm Todo list app doesn't allow you to filter at all. I'm using Keysuite, and this does allow a view of tasks for the "Next 7 days", but: (a) it then does not display t1 (ie undated) tasks; even if it did, it would then also show t3 (ie MLOHidden) tasks; and (b) it's not configurable - ie it's Next 7 Days or everything;
I thought that I could deal with this in MLO by changing the date in the To-Do list window, and then syncing only visible tasks, but as mentioned above, that doesn't seem to work.
Grateful for any comments
K ------ Andrey.. that solution will only partly satisfy the question. I have the same desire as CK Au Jeffrey and feel that the solution could be a filter in MLO rather than an option in the Outlook Sync menus. It seems to me that what gets synced is a function of what is actually in the to-do list. If so, then irrespective of whether one syncs to OUtlook or not, I believe many would find it useful to be able to see and review what is coming up, both as dues and starts, in a given period (eg. the next 7 days). I do notice that often when planning the due date and lead time of a new task, I do not take into account what is also upcoming, especially if that upcoming task is not yet appearing on the list. Ther result can be too many tasks appearing on a given day and a necessity to reschedule. A filter to be able to see both dues and starts would be great, and would allow the syncing to Outlook as CK Au Jeffrey is wishing for.

I am currently testing the Outlook sync function with a view to sending data to my Palm, and have a question regarding how due dates are treated. If I assign a due date to an item (start and due date the same) in MLO, and that date is greater than today, the task will not appear in Outlook until the date its due. Phil.

If I am looking ahead a week I won't see a task whose start day does not begin before today unless I un-check the remove tasks from Outlook that are not visible. But then also see all the things I don't want to see and have told MLO to hide from the todo list.
May be a selection that would sync all things execpt items that have the Hide branch/task option selected would do the trick.

When you have "Complete subtasks in order" checked off, it would be great if you could specify the amount of time before the next subtask.
For instance, say you have a timed routine that doesn't always start at the same time.
Get up, immediately take probiotics. Then half hour later, take other supps like food enzymes. Then 15 minutes later eat breakfast. Then 45 minutes later do morning workout. etc.
Of course other stuff is going to constantly distract you between all these things (like drafting a post for the MLO forum), so the alarms will remind you to stay on routine. But even if you don't get around to taking the food enzymes the second the alarm goes off, the next alarm for eating breakfast will still wait till 15 minutes after you check off the food enzymes task. And no matter how long it takes you to eat breakfast, the morning workout alarm won't go off until 45 minutes after you check off eating breakfast. This builds a level of flexibility and intelligence into a time dependent routine that I haven't been able to find with any regular alarm applications.

This dovetails with my keyboard navigation suggestion... rather than have to program in "only the important ones" as favorites, use a Google Suggest/QuickSilver/filename-type auto-completion to get to ANY of them by typing only the unique characters. ----- As I am once again tweaking my 'system', I found myself entering a large number of projects today and noticed a behavior which could use improvement. While the Notes tab is in view, you cannot use the accelerator keys for the Properties tab. When you try them (Alt-J for Project for example), you receive a System Beep and no action taken. It does not appear to matter where the actual focus is (in the item list or the notes pane).
Would it be possible to make these keys accessible all the time? I very often use the Project, Place and Hide.. Keys because I detest going to the mouse. Yes, you can switch back to Properties, but I rarely need to see all the properties, while I like seeing the notes. I do realize this is not necessarily standard Windows behavior, but well, sometimes standard isn't always best. Moreover, the Notes pane does not appear to use many (if any) accelerator keys, so I can't this interfering too much.
As a side note, would it be possible for Complete subtasks in order to receive an accelerator key?
Lastly, this might be solved by my long-standing request for the notes to be viewable all the time. Just had to throw that in :-)

Description Basically I want to be able to see a task on the ToDo list regardless of the place that is set, almost an option that overrides the whole Places concept in a way. So if I have an urgent task/reminder I can see it all of the time on the ToDo List even when I switch places.
The way I have done it at the moment is create a place called 'Anywhere' then included 'Anywhere' in all of the other places I have defined. So if a task is set to Anywhere it is shown on all the other place lists (apart from the <nowhere> list ).
What I would like to see is either a predefined place of Anywhere on the place list that allows a task to show on the ToDo list regardless of the place setting or some sort of task variable that can be set to show the task in all places.

Description I'd really like some kind of progress bar that provided feedback on how much I'd accomplished during the day. I'm thinking of an Accomplishment Score that starts at zero and each time you check off a task, it adds (say) the importance/urgency score * effort of the task to the total Accomplishment Score. You could also have a button to reset the Accomplishment Score to zero at any time.
That way, on a daily (or weekly, or monthly) basis, I could reset the Accomplishment score to zero and as I check off each task, see some visual feedback on the progress I'm making. Bigger jobs (more effort) will provide bigger jumps in the score. Over the longer term you could even plot how much you accomplished each day (or week or month) and see how it varies.
Nerdy, perhaps, but I think it's a feature I'd get a lot of use out of.

The "New Task From Template ... " command is basically the same as the Duplicate (or Copy/Paste) command, but I thought of a way for it to be more useful. Think about a task like this:

If I throw another party later, I'll probably want to do many of the same things (hopefully not the lampshades again, but who knows?). So, right now, I run the "Task | New From Template ..." command, and then change all the dates to fit with the actual date of the new party (and change the task names to reference this new party so I don't get confused).
It would be SUPER awesome if this was built in to MLO, so you can:
1) replace the task's main date with a new one, and have all related dates shift accordingly; and
2) replace a bit of text in the task name(s)
Let me illustrate - the old task might look like this:

Realistically, I'd probably use this by creating a "platonic" version of the task that has every possible step I could need to remember, with generic text (like "[party name]") inserted in the task names, and then duplicating it and trimming out the subtasks that don't apply each time. At some future stage, maybe "template" tasks like this could have special status (so they're hidden, they can be shared just like entire file templates can now be shared, etc).
I looked in the documentation, the feature list, and the Wiki, and I didn't see anything like this. And since "Template" is now used to mean an entire file template, maybe this feature could read "New from existing ... ", "New from pattern ...", "New instance of task ... ", etc. ... or something like that.

I also forget very often to add the required properties to a task - and often I think, it takes too much time and tool much mouse clicks to properly define a task. Very often, tasks are of similar nature - if they are added to a place, then they may take a specific time (which I categorise only in 15 min, 1h, more than an hour), etc. Wouldn't it be much easier if MLO allows to define some "task profiles" summarising the settings for a typical task? If a new task comes up you just need to select one of these profiles to set all relevant parameters. Of course, some tasks will not fit into your set of task profiles - but then you will define them parameter by parameter as today.
Is this a useful feature for other users as well?

Right now I have a lot of tasks where I have the same set of subtasks for each. I keep these often used sets of subtasks as under a hidden item named "Stored Proceedures" and when I need one of the sets of tasks, I copy it to where I need it.
Maybe this could be implemented by having a particular item designated as the place where these are defined and then when I create a task of "Setup new user John Smith" I right click on the task and in the context menu there's a "proceedures" item that branches off into a list of the items in the next level under the stored proceedures item; select the one you want nd it's copied in below the task.
Maybe it could even go a step further... Rather than seeing "[Prj: Setup new user John Smith]-created user account" if I picked a proceedure (as above) that was titled "Setup new user" it would tkae the remaining part of the task, "John Smith" and make the subtasks that are copied in have "John Smith" tacked on: "Create user account: John Smith".

Description One more that I forgot to mention formerly: a follow-up function, like in A&B. In A&B, if task is completed and has the follow-up box checked on, a box will automatically pop up asking you to input new task.
That makes your system ala GTD more complete - the next actions are inputted immediately after previous action completion, without you having to thing about it, thus keeping your system more complete (= not having to wait for the next review). It's not a cure-it-all of course, just a rather helpful function.

Functional proposal: after marking as done, a dialogue appears asking "Schedule folloup Y/N?". If yes is clicked, you are transferred to outline view to the new task that is automatically made after the task that was marked done. The new task is also defaultly filled with all the data of the old task (including title, note,....). In a more radical way, that could be also implemented without the dialogue asking, just creating the follow-up/next action task immediately.

I agree. I looked at ML Pro before MLO, and I like MLO better overall. That's why I bought it and not ML Pro. But I do like ML Pro's task completion point system. I would especially like to be able to track my "time on task" for each task, and some kind of overview of how I actually have spent my time on tasks from day to day.

To make it work it is necessary that points are visible in the interface at any time (that's the motivational point) and updated in real time (upon task completion).
(Otherwise with current reporting features, I would find it rather easy to implement my own point system and count points at the end of each day in Excel - the only problem is that would have no motivational effect.)
In case such a function would cause difficulties to implement, I also think it doesn't necessarily have to be extremely robust. It's main point is a short-time motivation, not a long time accounting where every bean counts a lot.

Today's total accumulated points value might be enough, but two little windows, one for today's value and second alternatively (user setup) for either your target value or yesterday's value would be really really fantastic.
The only other places that I can think off, is either the status bar (However it is not visually appealing, unless there will be a possibility to make it in colors instead of black and white.), or the upper part of the right pane as there are already some icons there. Or perhaps in the upper part of Outliner and Todo views. Some of these are of course not very idea places.
Tom --- It really sounds like the would be a great function for the MLO-Motivator product that is described as an add-on module on the website. I think power users would love it; but I think it would scare off new users. If MLO is to live and grow new users will have to be attracted to feed the revenue screen.
At the current rate of development I'd be happy to pay for updates once or twice a year. I assume a few others here would too; but that won't be enough to drive the whole things.
So I think we need to balance our "add" this feature enthusiasm with careful thought of how to add it to the interface without cluttering things.
Example: A preference can be added to "hide" the urgency slider from the interface. If that's done; urgency gets a value of "1" hard coded for all items. And the entire rest of the program will run "unaffected" and a newbie would be less "challenged".
The stuff we think up as to be like that; optional and not obtrusive to the interface....
Other than that; I love to see the steady stream of ideas; it's very very refreshing.... Bob Pankratz
